This Privacy Policy describes how Retro Consultants, LLC, doing business as FDA Detention Sampling ("FDA Detention Sampling," "we," "us," or "our"), collects, uses, discloses, protects, and retains information in connection with this Client Portal and the detention-sampling services supported through it.
We use information to provide and administer detention-sampling services; manage client accounts and case status; schedule and document sampling; coordinate with laboratories, couriers, warehouses, brokers, and other service participants; provide customer support; maintain business, audit, and compliance records; protect the portal and investigate misuse; and comply with applicable legal, regulatory, or governmental requirements.
We may disclose information when reasonably necessary to service providers that support hosting, communications, payments, storage, security, or business operations; laboratories, couriers, warehouses, brokers, and other parties involved in a client's case; professional advisers; and governmental or regulatory authorities such as FDA or U.S. Customs and Border Protection when required or appropriate for the service, the client's instructions, or applicable law. We may also disclose information in connection with a business reorganization, acquisition, or transfer, subject to appropriate safeguards.
We do not sell personal information collected through this Client Portal for money, and the Client Portal is not designed to use client case information for targeted or behavioral advertising.
We retain information for as long as reasonably necessary to provide services, maintain case and business records, satisfy contractual, legal, regulatory, audit, insurance, tax, dispute-resolution, or security needs, and enforce our agreements. Retention periods can vary by record type and case circumstances.
We use administrative and technical safeguards designed to protect portal accounts and records, including access controls, hashed passwords, server-side sessions, session expiration, login-attempt controls, CSRF protections, and protected document delivery. No system can guarantee absolute security, and clients should protect their credentials and notify us promptly of suspected unauthorized access.
You may contact us to request access to or correction of account information, to ask questions about a record, or to request deletion where appropriate. Some records may need to be retained for contractual, legal, regulatory, audit, security, or legitimate business purposes. Rights can vary by jurisdiction and context.
Please upload only information reasonably necessary for the detention-sampling case. Do not upload Social Security numbers, full payment-card numbers, personal health records, passwords, or other highly sensitive personal information unless we specifically request it for a lawful and necessary purpose.
FDA Detention Sampling is based in the United States. If you access the portal from another country, information may be processed and stored in the United States in connection with the services.
The Client Portal is a business service and is not directed to children under 18.
We may update this Privacy Policy as our services, technology, or legal obligations change. When a material portal policy update requires a new acknowledgement, the portal may ask account users to review and acknowledge the updated version before continuing.

These Client Portal Terms govern access to the FDA Detention Sampling Client Portal. They supplement, and do not replace, the applicable quote, service agreement, authorization, or other written agreement for services. If these Portal Terms conflict with an executed service agreement regarding the purchased services, the executed service agreement controls for that conflict.
The portal is provided for authorized client representatives to review case status, access records released to the client, and submit case-related documents. You may not use another person's credentials or access a company or case without authorization.
You are responsible for maintaining the confidentiality of your login credentials and for activity performed through your account. Do not share passwords. Notify FDA Detention Sampling promptly if you believe an account or credential has been compromised.
You are responsible for the accuracy of information and documents you provide and for having the authority to provide them. Do not upload malicious files, unlawful material, unrelated sensitive personal information, or information that infringes another person's rights.
Portal status information is provided for operational convenience and may change as facts develop. Sampling appointment dates and times may depend on access, product availability, facility coordination, FDA instructions, and other conditions. Any laboratory analysis completion date displayed in the portal is an estimate only and may change based on sample receipt, analytical method, laboratory workload, retesting, quality-control review, courier delays, or other circumstances outside our control.
Laboratories, carriers, warehouses, brokers, and governmental agencies are independent third parties. FDA Detention Sampling does not control FDA decisions and does not guarantee product release, admission, removal from an Import Alert, laboratory turnaround, or any particular regulatory outcome.
Portal content and status updates are operational records and should not be treated as a substitute for an official FDA notice, CBP communication, laboratory report, or the executed service agreement. If an official document conflicts with a portal summary, the official document controls.
We may perform maintenance, suspend access for security reasons, disable inactive or compromised accounts, or change portal functions. We do not promise uninterrupted or error-free availability.
You may not attempt to bypass security, scrape or probe the portal, interfere with service, upload malware, access another client's information, or use the portal for unlawful or unauthorized purposes.
Client case information is intended for authorized users. Clients should use reasonable care when downloading, forwarding, printing, or otherwise handling portal records after they leave the secure portal.
Unless a controlling written service agreement states otherwise, these Portal Terms are governed by Florida law, and disputes relating specifically to portal access are subject to the applicable venue provisions of the parties' governing service agreement or, if none apply, the courts located in Miami-Dade County, Florida.

This Client Portal uses cookies and similar browser storage that are necessary to provide secure sign-in, session management, and basic portal functionality.
The portal uses a secure session cookie named fds_client_portal_session. It is used to keep an authenticated client signed in and to protect access to case information and documents. Portal sessions are designed to expire after up to 12 hours. The cookie is configured as HttpOnly, SameSite=Lax, and Secure when the site is served over HTTPS.
The portal may use local browser storage to remember non-sensitive interface choices, such as whether you dismissed this cookie notice. This preference remains on the device/browser where it was saved.
The Client Portal is not designed to use advertising cookies or behavioral-tracking cookies. If non-essential tracking technologies are introduced in the portal in the future, this notice should be updated and any consent required by applicable law should be obtained before those technologies are used.
You can configure your browser to block cookies, but blocking the portal's necessary session cookie will prevent secure sign-in and case access from functioning correctly.

If we identify a security incident affecting client information, we will evaluate the event, take reasonable containment and remediation steps, and provide notices when required by applicable law or contractual obligations.
